OVERVIEW:
Well established property management firm seeks experienced on-site residence manager for a luxury 48-unit, new construction, mixed-use retail and apartment building located in West Hollywood, California.
Successful candidate(s) will be determined based on prior experience and successful completion of an extensive background check. Position requires exercise of a significant amount of discretion and independent judgment and qualifies as exempt but successful candidate(s) will be paid on an hourly basis and, as such, successful candidate will be treated by Property Manager as non-exempt. Occupancy of an on-site unit is a condition of employment and, as such, successful candidate(s)will pay rent on a monthly basis of 2/3 the current fair market value of the occupied unit.
DUTIES AND RESPONSIBILITIES:
Residential
- Occupy an apartment unit at the requested property as part of compensation package
- Set and attend appointments with tenant prospects with a focus on getting the unit leased to a qualified candidate
- Set-up and attend open houses
- Post vacant units on Craigslist and other advertising media as directed
- Prepare and post appropriate notices to residents as required or directed by Property Manager.
- Attend regular meetings/phone conferences with Property Manager to review property status.
- Prepare periodic property management reports for distribution to appropriate personnel.
- Monitor compliance with all regulatory agreements, lease documentation, etc. Ensure that all new residents are eligible by reviewing and approving and providing feedback regarding move-in files.
- Assist in the development and implementation of and oversee resident activities and property management programs that will create housing and community environments of high quality while maintaining affordability.
- Review and submit comments/approval to accounts payable to ensure that expenditures are within specified budgetary guidelines.
- Respond to questions regarding the financial management and daily operations of the properties.
- Attend various training and informational seminars in order to keep abreast of new policies and procedures.
- Manage marketing and lease-up
- Assist with the development and implementation of a lease-up and marketing plan
- Coordinate existing operations including application process, contract and service procurement, and staff hiring and training.
- Review maintenance log for timeliness of repairs. Follow-up with residents to see that repairs were completed satisfactorily.
- Keep and maintain tenant-prospect wait list.
- Inspect vacant units to survey rent readiness.
- Inspect all common areas to ensure that the highest standards are maintained.
- Manage and quality control check all contracted vendors. Utilize consistent verbal and written communications to provide instructions and feedback.
- Assist with preparation of annual operating budgets. Review monthly financial statements and budget with CFO.
- Perform other duties as assigned.
- Work with vendors to obtain bids for service/repairs/upgrades of properties under management.
· Communicate directly with vendors and sub-contractors for progress updates
· Create, update and close out work orders
- Performs any additional duties assigned by Property Manager or Managing Partners.
· Responsible for immediately documenting all telephone and in-person client/resident conversations in appropriate logs.
Commercial
· Routine inspections of the retail common areas throughout the day and evenings
· Monitor retail parking for compliance to time restrictions and/or illegal parking by non-patrons
· Promptly report parking violations to Property Manager
· Execute Property Manager’s parking enforcement, including posting warnings on vehicles and have vehicles towed as needed.
· Maintain tidy and clean retail common areas, including spot cleaning, mopping, & pressure washing as needed
· Coordinate emergency repairs and provide notice to the Property Manager within 24 hours
· Inspect and report to Property Manager deferred maintenance and/or repair needs
· Provide access, as needed, to retail vendors and service providers
· Report retail tenant misconduct or violations to Owner
· Provide access to vacant retail spaces as requested by Owner
· Routinely verify that vacant retail spaces are locked and secured
· Routinely inspect vacant retail spaces and report any repair needs to Owner (such as running toilets or leaking sinks, etc.)
· Pick up and dispose of loose debris, litter, and trash within safe physical capabilities
· Facilitate removal of any non-residential bulk trash or dumping on the property or within any of the retail common areas
· Forward retail tenant/visitor inquiries, including complaints, to designated contact person
QUALIFICATIONS
· Two years of college REQUIRED, 4-year degree preferred.
· Position REQUIRES at least 5 years’ experience as an onsite residential property manager.
· Strong customer service skills
· Must have solid command of Windows-based computers.
· Must have solid command and experience with Outlook, MS Word and MS Excel programs and have the ability to demonstrate this knowledge during the interview process.
- Must be willing to work in a fun, goal-oriented corporate office that is walking distance to the beach.
- Must be able to pass criminal background check
· Excellent driving record
· Must be able to read, write, type and communicate in English fluently and effectively.
· Must display a polished and professional appearance at all times
DRIVING/TRAVELING/PARKING
- Occasionally will need (approximately 5-10% of the time) to utilize personal transportation for miscellaneous management related tasks and/or errands.
· Must have valid driver’s license, a dependable vehicle, and current automobile insurance in an amount and with coverages acceptable to Property Manager.
· A maximum of one parking space will be provided (regardless of whether two persons are hired to fill this position).
TIMING and LOCATION
· Successful candidate(s)will begin to work on a full-time basis (as defined below) during the pre-leasing phase – approximately 60 days before occupation of the assigned apartment unit at the West Hollywood property. Current anticipated hire/start date: December 1st, 2016. During the pre-leasing phase, successful candidate is expected to report to and work from a combination of locations throughout the workweek: corporate office in Manhattan Beach, CA; temporary leasing office in West Hollywood; and candidates’ home office. Property Manager will provide successful candidate(s) at least 15 days advanced notice of the date he/she/they will be permitted to move into, occupy, and pay rent on selected 1 or 2-bedroom unit at the West Hollywood property.
COMPENSATION:
· Position requires exercise of a significant amount of discretion and independent judgment but will be paid on an hourly basis at the regular rate of $25 to $35 per hour (depending on experience). Successful candidate(s) will be expected to work on a full-time basis meaning, if one person is hired, he or she will be expected to work approximately 40 hours per week and, it two people are hired, they will be expected to work a combined total of approximately 40 hours per week.
· Eligible for medical (partial employer contribution of a maximum combined total of $100/month) and long term disability benefits after 90th day of employment.
· All major Company holidays are paid days off.
· Vacation pay: successful candidate(s) will be entitled to earn up to 5 days of paid vacation per year.
· Paid sick leave: 3 days annually after 90th day of employment.
· Cell phone: 50% of a successful candidate(s)’ unlimited talk/text bill will be reimbursed (other types of plans must be separately negotiated)
· Utilities: Water, electricity, natural gas and basic internet to the Resident Manager’s unit will be included
PAYMENT OF RENT:
· Full-time occupancy of an on-site unit is a condition of employment and, as such, successful candidate will pay rent on a monthly basis of 2/3 the current fair market value of the occupied unit. Based on the projected fair market rent value range of $3000 to $4200 of selected 1 or 2-bedroom unit which is to be occupied by the successful candidate(s), rent must be paid in the projected range of $2000 to $2801 by or before the 1st of each month.
